Improve your productivity
Generate quotes, invoices, contracts or any document imaginable from CRM and store them securely in SharePoint with a single-click.

Better storage.
Easy governance, done your way.

Governing how we store Documents can be difficult as we can quickly end up with an ad-hoc structure of Folders and Network Drives, and this means lost time for your staff when trying to fish out important information.
DocMan automates a consistent and sensible structure for your documents based on how you track records in CRM. This gives your business the proper 'spine' to stop lost time and improve collaboration in teams.
This makes finding and working with documents as easy as finding a record in CRM, and promotes best practise for compliance in storing personal data in your business.

Your rules. Your way.

This is based on rules configured in DocMan to create the right mixture of SharePoint Sites, Subsites, Document Libraries and Folders for your business to work with their clients and suppliers — with each type of record in CRM mapping to the relevant level in SharePoint.

How does DocMan do it?

Here DocMan builds on the more basic out-of-the-box link from Dynamics to SharePoint by removing the standard limitations and allows you to define the way the structure of Sites, Document Libraries and Folders you want in place for tracking Contracts, Letters and other Documents.

  • Define how Documents for an Entity in CRM should be tracked in SharePoint
  • Map your relationships in CRM to SharePoint to get the hierarchy right
  • Specify your storage templates for an area in CRM by having a set of 'maps' that define the right set of Document Libraries and/or Folders for a record in CRM.
  • Use SharePoint Metadata and Content Types to further promote excellent document management.

What this does ...

  • Gives us a consistent structure for document storage.
  • Automatically create new Document Locations as we add new records in CRM
  • Provides the right platform for Security

We’ve seen how DocMan can integrate Documents from SharePoint into Dynamics – however many industries also need to track galleries of photos to a Project, Case or Asset. One problem that could often occur with Dynamics to SharePoint integration is where a Record in Dynamics would be renamed, and this would leave the Folder or Document Library in SharePoint with a now out of date name. DocMan resolves this problem by picking up on any changes in Dynamics that should be reflected in SharePoint. We can.... More

We have seen how DocMan can create new Document Libraries and Folders to records in Dynamics, and how related records can form the structure for how our documents are stored. We can also look at the concept of ‘bucket’ folders that can build not just a Folder for a Record, but also other ways of dividing record’s document locations.... More

Moving on from how we can see Accounts in Dynamics creating Folders in SharePoint using a more configurable structure, we can then look at a related Entity to Accounts such as Contact. Typically Contacts we track in Dynamics will be related to a particular Company, and we may want to store Documents in a way that reflects this relationship..... More

Once we have the DocMan App installed into our Tenant of Dynamics 365, we can open the App and start exploring how this integrates Dynamics with SharePoint. If we open an Account Record in the App, this will Open the Record via a simple Dynamics Form. This Form contains the DocMan Panel, this will ‘peek’ into SharePoint to.... More

Since we started developing DocMan there was always a challenge to how quickly we can install and release to a Customer. We wanted to get away from the bad old world of ‘big integrations’ that could cost a large chunk of Consultancy Time and limit the agility for how a Customer’s handles their Document Management. We aimed to.... More
