What can I track an Email against?<\/strong><\/p>\n\n\n\n<p>However when we build and structure Dynamics to suit our business, we will add our own Custom Entities and then potentially want to be able to track Emails to these Custom Entities.<\/p>\n\n\n\n<p>This article is aimed at giving a step by step guide to how to add Custom Entities into the list of possible Entities we can track an Email for in Outlook.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Step 1 \u2013 Open the Settings Area of Dynamics 365<\/h3>\n\n\n\n<p>This can be done by clicking the Cog Icon in the top-right of Dynamics and clicking \u2018Advanced Settings\u2019 in the resulting drop-down menu.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Step 2 \u2013 Navigate to My Apps<\/h3>\n\n\n\n<p>In Settings, we can navigate into My Apps<\/p>\n\n\n\n<figure class=\"wp-block-image\"><a href=\"https:\/\/license.citruslime.com\/cs\/blogs\/crmcs\/image_34E5AF4A.png\"><img decoding=\"async\" src=\"https:\/\/license.citruslime.com\/cs\/blogs\/crmcs\/image_thumb_42B7F545.png\" alt=\"image\" title=\"image\" \/><\/a><\/figure>\n\n\n\n<p>This will then show us the list of Apps that we use with Dynamics 365.<\/p>\n\n\n\n<p>One of these Apps will be the Dynamics 365 App for Outlook as this comes as standard with Dynamics 365 and Model-driven PowerApps.<\/p>\n\n\n\n<p>This is the App that defines the default functionality for how the App in Outlook works with Dynamics.<\/p>\n\n\n\n<p>Here we can click Options and then Open App Designer to change how the App works for us.<\/p>\n\n\n\n<figure class=\"wp-block-image\"><a href=\"https:\/\/license.citruslime.com\/cs\/blogs\/crmcs\/image_5E5C813B.png\"><img decoding=\"async\" src=\"https:\/\/license.citruslime.com\/cs\/blogs\/crmcs\/image_thumb_70391508.png\" alt=\"image\" title=\"image\" \/><\/a><\/figure>\n\n\n\n<h3 class=\"wp-block-heading\">Step 3 \u2013 App Designer<\/h3>\n\n\n\n<p>This opens the usual designer for this App.<\/p>\n\n\n\n<p>In the designer, we can associate which Entities the App will make use of.<\/p>\n\n\n\n<p>Normally for a PowerApp\u2019s App, this would control which Entities we see when working with this App \u2013 and this is also true for the Outlook App.<\/p>\n\n\n\n<p>Any Entities selected here will appear as options for where an Email can be tracked to.<\/p>\n\n\n\n<p>So to add a new Entity from Dynamics into the Outlook App, we can click into Entities from the Artifacts Group:<\/p>\n\n\n\n<figure class=\"wp-block-image\"><a href=\"https:\/\/license.citruslime.com\/cs\/blogs\/crmcs\/image_17072B49.png\"><img decoding=\"async\" src=\"https:\/\/license.citruslime.com\/cs\/blogs\/crmcs\/image_thumb_52C6C3FC.png\" alt=\"image\" title=\"image\" \/><\/a><\/figure>\n\n\n\n<p>And then tick the Entity or set of Entities that we want our Users to see within the Outlook App and have the option to Track Emails against.<\/p>\n\n\n\n<figure class=\"wp-block-image\"><a href=\"https:\/\/license.citruslime.com\/cs\/blogs\/crmcs\/image_4BA78784.png\"><img decoding=\"async\" src=\"https:\/\/license.citruslime.com\/cs\/blogs\/crmcs\/image_thumb_2062F07D.png\" alt=\"image\" title=\"image\" \/><\/a><\/figure>\n\n\n\n<h3 class=\"wp-block-heading\">Step 4 \u2013 Save and Publish<\/h3>\n\n\n\n<p>Now we can click SAVE and then PUBLISH to confirm our change and publish out to the Users in our Organisation using the Outlook App.<\/p>\n\n\n\n<figure class=\"wp-block-image\"><a href=\"https:\/\/license.citruslime.com\/cs\/blogs\/crmcs\/image_6B56614C.png\"><img decoding=\"async\" src=\"https:\/\/license.citruslime.com\/cs\/blogs\/crmcs\/image_thumb_7928A747.png\" alt=\"image\" title=\"image\" \/><\/a><\/figure>\n\n\n\n<p>This gives us a fairly fast and simple way of controlling the options that a User sees when tracking an Email from Outlook and into Dynamics.<\/p>\n\n\n\n<p>When working with Custom Entities, this can be crucial to enable good Email and Note management in how we use Dynamics.<\/p>\n\n\n\n<figure class=\"wp-block-image\"><a href=\"https:\/\/license.citruslime.com\/cs\/blogs\/crmcs\/image_34E83FFB.png\"><img decoding=\"async\" src=\"https:\/\/license.citruslime.com\/cs\/blogs\/crmcs\/image_thumb_2DC90383.png\" alt=\"image\" title=\"image\" \/><\/a><\/figure>\n\n\n\n<p><strong>Viewing the resulting tracked Email in Dynamics \u2013 either as part of the Timeline or as a set of Journal Notes.<\/strong><\/p>\n","protected":false},"excerpt":{"rendered":"<p>Using the Dynamics App for Outlook we can track Emails to various records in Dynamics or Power Apps.
