Populating a Marketing List in Dynamics

Depending on how we utilise CRM, we will potentially have Marketing Lists that are associated with various contacts, as this allows us to manage and tailor marketing activities towards specific groups.

The Advanced Find in Dynamics is a useful tool here in assisting us to manage data into or out of marketing lists, as we can add and remove members based on a desired search criteria.

STEP 1 – Find our Marketing List - The first step tis to navigate to the desired marketing list and select ‘Manage members, as highlighted in the below illustration.


The following pop up will appear, and in this instance we want to add members to our desired marketing list via the Advanced Find:


STEP 2 – Set our Criteria of Contacts - In the below example we want to find all active contacts that have not unsubscribed (i.e where do not allow email is set to allow).


So in our highlighted box we have set the desired search criteria, we can next click ‘find’ at the bottom.

We are presented with our list of contacts as illustrated below (NOTE: for privacy we have blocked out the names and numbers)


STEP 3 – Add the Contacts to our Marketing List - We can then opt to select particular contacts we would like to add to our chosen marketing list or we can choose to ‘Add to Marketing List’ to add all the contacts results returned by the Advanced Find Query.


STEP 4 – Add more Contacts to our List? If applicable, we can also specify our criteria further.

So in the example below we are looking for all active contacts that have not unsubscribed, and where the current customer partner type is Brilliant Partner.


This combination of the Advanced Find and Marketing Lists can be a powerful tool – as we can also use the Advanced Find to Remove all Contacts that meet a particular criteria and so perform ‘Not In..’ style queries on the Contacts (or Leads) we hold in Dynamics.

Similarly we can also use this functionality in CRM to flip a Marketing List from Dynamic to Status for further control over the Members / Contacts in that List.
