Setting up Mailboxes in Dynamics

In order to set up users’ mailboxes in your organisation, you will first need to be the Office 365 Global Admin. This is required for compliance to allow Dynamics to route emails through other users email addresses.

1. Navigate to the Dynamics Settings by going to the cog in the top right corner and clicking advanced settings

2. Click the ‘Settings’ dropdown at the top, and select the Email Configuration. Then from the options, select ‘Mailboxes’.

3. You will see now a list view called ‘My Active Mailboxes’. Click on the name of the view, and select from the drop down ‘All Mailboxes’.

4. From here, click into the user record you want to set up. Update the following settings:

a. Incoming Email: Server-side Synchronisation or Email Router

b. Outgoing Email: Server-side Synchronisation or Email Router

c. Appointments, Contacts and Tasks: Server-side Synchronisation

5. Then you need to click the buttons at the top for ‘Approve Email’ and then ‘Test & Enable Mailbox’.

6. You can do these steps for multiple contacts at once by selecting a number of contacts from the list, and using the ‘Edit’ button on the subgrid commands to bulk edit the fields from number 4. Then select the contacts again and click on the ‘Approve’, and ‘Test & Enable’ buttons on the subgrid commands to bulk run these processes.

7. When you use the Test & Enable function, Dynamics should send a test email to that user email address, which will appear like the picture below if it has been successful.

8.Now navigate In settings to the Dynamics 365 App for Outlook

9. In here, you will see a list of all eligible users (all users whose mailboxes you set up before) and you can select for which users you want to add the app to, and you can also select to automatically add the Dynamics 365 App for Outlook to all eligible users.

10. Then open your Outlook instance and you should see the Dynamics button as an add-in on the top bar. You may need to shut down and restart outlook to prompt this to load.
