Microsoft Dynamics allows its users to have several fields to their CRM. These fields can be searched in many ways by users. One field which has multiple ways of searching is the Date field. In this article, we will be touching base with the ways in which users can search the date field in Microsoft Dynamics.

Let’s say a user wants to search all records in the year 2020. When it comes to searching by Date and Year, this is not possible using the Quick View. The user is not able to search in the Quick view by inputting a date or a year as shown below.

The first option available to be able to search all records in 2020 is by applying a filter that shows all records for Last Year.

This will then bring up all the records that are available in the year of 2020. This can be done for any year through the filter option.

The filter tool is a great tool as it offers multiple ways in which users can filter from and view records.

Another way in which this can be done to give users a good experience is by using System Views. This is one aspect we applied for one of our clients who wanted an easy approach to being able to view different case types in certain years that being 2020 and 2021. This is done by building a view for records this year and another view for records last year and these will be easily accessible from system views. These can then be filtered to show certain case Types and a certain Year.

By creating these views, it will allow users to have easy access to accessing cases of a certain year and of a certain type. From the image above a user can easily access All Active Cases that are in the year of 2021.

To wrap up with System views It is a great and easy way to access certain records of a certain Year or record types by having them in a view which you can select from. However, with system views is if you are handling quite a large quantity of records and wish to have it easily accessible you could have multiple views to choose from.

Another tool which is quite common in Dynamics is the Relevance search. The relevance search will search from the Top level and will search everything within the CRM. It is mainly common for searching content and information within a certain record and will bring up that record. When it comes to searching records of a certain year relevance search will not show those records.

For example, you want to display all records for 2020 using the Relevance Search. If you input 2020 in the Search tab at the top it will only show those records with 2020 in the content but not show all records of 2020.

As noticed the Relevance search will not show all records of 2020 but will show those records that contain 2020 in the content or information.

As we can conclude with Relevance search it’s a great tool when you need to search for a record using the content within that record however it does not view all the records of that certain year or a specific year.
