One new feature with Dynamics for Sales is the ability to export a Word Template directly into PDF.
As a new feature, this needs to be enabled and this can be done via the Dynamics for Sales App and going into Settings within this App.
NOTE: This works in the same way as the 1st Party Marketing App but (to crusty long timers with Dynamics) can be a bit tricky to find as its slightly non-standard.
Once done, this allows us to enable a new option for Entities to export any Template directly into PDF – but you do need to enable this Entity by Entity:
So if I enable this for Sales Order and Report here (PJV) – this will then add a ‘Export to PDF’ button to that Entity Form:
This gives a nice preview to generate the new document as a PDF:
By default – this will do the ordinary in creating the PDF and adding to the Record as a new Note with the File Attached.
If we are using DocDrive365 or a similar push-to-sharepoint feature – then the Note Attachment will be scooped and added to the SharePoint Location for this Record.
So in our example here, this will go into the Files section for that Sales Order:
This keeps the PDF we have generated in our structured way of working with Documents and avoids any requirement to have to download the file and end up storing documents outside the way we want to store documents.
Its a great feature for Dynamics for Sales, as often we want Documents straight into PDF and not going via Word formats – the key here is knowing that:
- Currently this is just for Dynamics for Sales Professional and Enterprise – and unfortunately not available for standalone Power Apps
- As a Feature, it needs enabling before we can put to use.
- New PDFs go into Notes or SharePoint depending on our setup.
